How to charge a credit card

Last Updated: Aug 28, 2017 01:55PM EDT
To charge a guest with the retained credit card in ThinkReservations follow these steps:

1.) Open the bill/reservation for the customer.

2.) Click the NEW PAYMENT button just below the "Payments" heading.

3.) Click anywhere in the white box; this is a drop down selector.

4.) Choose "Credit Card" from the list. You will see the last 4 of the card on file pop up just to the right.

Note: You can enter a new card at this point if you wish.
Click on the drop down selection that shows that last four digits of the current card and choosing "New...". Enter the new card in the popup box, and continue.

5.) Enter the amount you wish to charge the customer in the Amount box to the right. For example, to charge the customer $512.04 enter: 512.04

6.) Click the "Save" button below the Amount box to charge the customer that amount.

To charge a guest that is present with their credit card in hand, you can use the above procedure.

If you wish to save some time or if the guest presents a different card that what you have retained you can use the orange Swipe button to swipe the customer's credit card for ONE OFF charges. ThinkReservations supports many different USB card swipers such as this one that swipes either direction/side, or this one that swipes only one one side. Heartland clients will need an encrypted swiper purchased from Heartland.

1.) Open the bill/reservation for the customer.

2.) Click the NEW PAYMENT button just below the "Payments" heading.

3.) Click the orange Swipe button.

4.) Swipe the guest's credit card using your USB connected swiper when the box asks for you to "Please swipe the credit card".

Note that the payment type changes automatically to "Credit Card" and the text "SWIPED" is displayed.

5.) Enter the amount you wish to charge the customer in the Amount box to the right. For example, to charge the customer $450.80 enter: 450.8

6.) Click the Save button below the Amount box to charge the customer that amount.

Note: Credit card information is only retained for the reservation (confirmation number) that it was used for or retained in. Credit card companies are moving away from allowing credit card information to be retained to customers to help prevent credit card fraud. ThinkReservations has already made the switch.
