Reports - Reservations

The Reservations reports consist of 13 reports. Exports of Reservations reports also include the guest's email address and phone numbers.

Reservations by Booking Date

This report displays reservations that were booked within a specific date range.  Only confirmation IDs associated with a room reservation are included in this report.  Reported dollar amounts include room and non-room charges. The results are sorted by date booked.

Best Uses:

  • To search for a reservation when you know the approximate booking date.



Reservations by Arrival Date

This report displays reservations that are arriving within a specific date range.  Only confirmation IDs associated with a room reservation are included in this report.  Reported dollar amounts include room and non-room charges.  The results are sorted in order of check-in date.

Best Uses:

  • To search for a reservation when you know the approximate arrival date.


Canceled Reservations

This report displays all reservations that were canceled within a specific date range. Included in the report are pre-cancellation amounts for tracking lost revenue and the post-cancellation values for cancellation fees and other charges that guests are held accountable for after cancellation. The notes section will show the reason for cancelation if one is present on the reservation.

Best Uses:

  • As a report to review daily or weekly to ensure outstanding balances on canceled reservations are collected or refunded on a timely basis.
  • To find a canceled reservation when you know the approximate date it was canceled.


Reservations by Channel

This report displays confirmation IDs with reservations that are arriving within a specific date range and groups them by booking channel.  Channels reported include Phone, Online (Booking Engine), Online-Mobile, Expedia, Booking.com, and Airbnb. Only Confirmation IDs associated with a room reservation are included in this report.  Reported dollar amounts include room and non-room charges.

Best Uses:

  • To understand which channels your guests are using to make reservations at your property.
  • To help evaluate whether you want to implement strategies to change the mix of booking sources to less expensive sources.


Reservations by Payment Status

This report displays Confirmation IDs with reservations that are arriving within a specific date range and groups them by payment status. Confirmations are grouped by the following payment statuses: Overpaid, No Payment, Partially Paid, and Paid in Full. Reported dollar amounts include room and non-room charges.  We that you first run this report for a period of at least a year to get the full picture of any confirmations having a balance due.  Subsequent runs could be for shorter periods.  This report is essential for identifying reservations that have outstanding balances to be collected or refunded. 

Best Use:

  • As a report to review daily or weekly to ensure outstanding balances on reservations are collected or refunded on a timely basis.


Reservations by Attribute

This report displays bill attribute information for room reservations within a specific date range. Only confirmation IDs with room reservations that have a custom bill attribute entered are included.  You must select an attribute to be displayed. Reported dollar amounts include room and non-room charges, excluding any taxes.


Reservations by Agent

This report groups reservations within a specific date range by the agent that created them. The agents are your staff/users in the system. You can choose the report to display reservations Booked, Arriving, or In House between the dates selected.  The agents are identified by their user login ID.   The agent “ThinkReservations" will include reservations made through the Channel Manager.  Reservations booked through the Booking Engine will be under "tr_booking_engine."  Reported dollar amounts include all charges, including tax, for each Confirmation ID.  The report does not include canceled reservations.

Best Uses:

  • To support a payroll incentive plan based on reservations booked.
  • To evaluate employees' performance.


Booking Pace Report

This report compares the rate at which customers make reservations at one point in time versus another point in time. The dates you select are flexible to allow comparison of any points in time and any date ranges that you want to compare.  “Booked As Of” date -  includes reservations booked up to the close of the previous day.  Not included are Point of Sales (POS) sales like gift certificates or sales on canceled reservations.

Best Uses:

  • To compare the rate at which reservations are made for a given period to another comparable period (usually the same period last year).
  • By being creative with the booked as-of-date and the periods being reported, you can view past results to help evaluate the impact of marketing or pricing decisions.


Guest Forecast

This report displays the number of overnight guests that will be at your business within a specified date range, based on reservations booked to date.  Results will display the number of rooms arriving, staying over and departing as well as the number of adults and children in-house.  The number of people corresponds to the rooms arriving and staying over.  Additional information includes the number of nights booked and nights blacked out.  By entering dates in the past, you can access historical information on the number of adults and children that have stayed with you.


Occupancy by Date

This report displays occupancy information by date for the date range selected.  Reported details include the number of rooms available, the number of rooms occupied and the number of rooms blacked out.  Occupancy is calculated both with and without blackouts.  The total for the period selected is reported, with a breakdown by day, week, month, quarter, or year.

Occupancy by Room

This report displays occupancy information by room for the date range selected.  Reported details include the number of rooms available, the number of rooms occupied and the number of rooms blacked out.  Occupancy is calculated both with and without blackouts.  The total for the period selected is reported along with subtotals by room.  You can choose to display by day, week, month, quarter, or year for each room.


Occupancy by Room Type

This report displays occupancy information by room type for the date range selected.  Reported details include the number of rooms available, the number of rooms occupied and the number of rooms blacked out.  Occupancy is calculated both with and without blackouts.  The total for the period selected is reported along with subtotals by room type.  You can choose to display by day, week, month, quarter, or year for each room type.


Geographic Origin

This report displays the geographic origin of all reservations arriving within a specific date range.  The origin is based upon the State/Province/Country entered on the reservation.
