Reports - Payments

Payments by Date

This report displays the payments received from customers for the date range specified in chronological sequence.  Grouping by “None” will display the payment type, Confirmation ID, guest name, Folio #, Folio customer name, reference #, and the amount for each payment.  You can group payments by Day, Week, Month, or Year.

Best Uses:

  • To search for a payment made within a certain date range.
  • To determine the total payments received for a specific date.

Payments by Type

This report displays the payments received from customers for the date range specified in chronological sequence by payment type.  Grouping by “None” will display the payment type, Confirmation ID, guest name, Folio #, Folio customer name, reference #, and the amount for each payment, subtotalling for each payment type.   You can group payments by Day, Week, Month, or Year.

Best Uses:

  • To determine the payments received by payment type for a certain date range.
  • To reconcile payments received in cash or check to cash and checks on hand.
  • To reconcile payments received by credit cards to the credit card batch report provided by your processor.

Payments by Agent

This report displays the payments received from customers for the date range specified in chronological sequence by agent/user (employee).  The user is identified by the email address as set up for the user in Settings>>User Management.  Grouping by “None” will display the payment type, Confirmation ID, guest name, Folio #, Folio customer name, reference #, and the amount for each payment, subtotalling for each agent. You can group payments by Day, Week, Month, or Year.

Best Use:

  • To determine or research payments processed by specific user(s).

Payments by Agent and Type

This report displays the payments received from customers for the date range specified in chronological sequence by agent/user (employee) and type of payment. The user is identified by the email address as set up for the user in Settings>>User Management.  Grouping by “None” will display the payment type, Confirmation ID, guest name, Folio #, Folio customer name, reference #, and the amount for each payment, subtotalling for each agent. You can group payments by Day, Week, Month, or Year.

Best Use:

  • To research a payment where you know the payment type and want to find the user that entered the payment.

Shift Change

This report displays payments received within the date and times specified. Please note the timezone is always the business timezone.  To change your time zone, navigate to Settings>>Business Settings and update the Time Zone setting.

Best Use:

  • To reconcile payments received at the end of a shift.

Credit Card Batch

This report displays credit card payments with a payment date between the dates specified. Note that your payment processor might be set to batch out at the end of the day, batch several times a day (Braintree), or batch after every transaction (Stripe). Only credit card payments are included in the report.  Payments are subtotaled by credit card type.

Best Use:

  • This report is useful to match your daily batch settlement report sent from your payment processor.  Note that your payment processor might be set to batch out at the end of the day, batch several times a day (Braintree), or batch after every transaction (Stripe). 

Deposits Received by Date

This report shows advance deposits that were received between the dates specified.  The report displays the date of payment, payment type, confirmation ID#, guest name, reference #, and the amount of payment.  Please note that if there are multiple payments made in advance on one reservation or bill, each payment will be displayed in the report. Payments must be made on or before the first billing date on the reservation or bill to be considered a deposit.  Deposits received will increase the balance on the Deposit Liability report.

Best Uses:

  • To understand which payments received on a particular date are advance deposits.
  • To help reconcile the Deposit Liability balance.

Deposits Applied by Date

This report shows deposits that were applied on reservations or bills between the dates specified. The report displays the date of payment, payment type, confirmation ID#, guest name, reference #, and the amount of payment.  Please note that if there are multiple payments made in advance on one reservation or bill, each payment will be displayed in the report when it is applied.  Deposits are applied to a reservation or a bill on the earliest date of sale of an item or arrival date.  On the date payment is applied, the payment is moved from the Deposit Liability account to the Guest Ledger account.

Best Use:

  • To understand which payments were applied to the Guest Ledger account for a specific date.
  • To help reconcile the Deposit Liability and Guest Ledger accounts.

Deposit Liability

This report shows your total liability for advance deposits as of a specified date.  The report displays the date of payment, payment type, confirmation ID#, guest name, reference #, and the amount of payment.  Please note that if there are multiple payments made in advance on one reservation or bill, each payment will be displayed in the report.

Best Use:

  • To reconcile the Deposit Liability balance in your accounting system to the detail in ThinkReservations.
